Campus inclement weather guidelines
All UW–Madison employees are encouraged to review the campus inclement weather guidelines. Only the chancellor has the authority to cancel classes, suspend services, and close the campus to the public and employees. Individual schools, colleges, divisions, and other campus units will not close unless the whole campus is closed. Employees should use discretion and caution regarding their health and safety. If an employee is unable to report to work or directed not to report to work due to inclement weather, supervisors and employees should work together to find alternative work arrangements, including working remotely and/or modifying work schedules, whenever possible. Employees’ leave options vary based on their employment category and job duties; employees should direct any questions to their supervisor or local human resources office. The guidelines also address the possible impacts of inclement weather on remote work.

Nominations open for student employment awards
The Office of Student Financial Aid is seeking nominations for Student Employee of the Year. Scholarships will be awarded to the top student employee in each of five categories. In addition, the Student Employment Supervisor of the Year award celebrates the accomplishments of those who play an important role in the development of student employees. The deadline to submit nominations is Sunday, Nov. 12.

Explore the use of generative AI in the classroom
Anyone who teaches or supports instruction is welcome to join the Center for Teaching, Learning & Mentoring on November 8, 10-11:30 a.m. at the Memorial Union, for a hands-on workshop exploring generative artificial intelligence (AI) opportunities and challenges. Participants may visit the ChatGPT bar to try AI without the need to set up their own accounts.

Chancellor Mnookin statement on employee pay raises
The Joint Committee on Employment Relations (JCOER) met Tuesday to approve a pay plan for state employees and state collective bargaining agreements. JCOER approved raises for state employees, but excluded raises for Universities of Wisconsin employees. JCOER also did not vote on the tentative agreement with the Wisconsin State Building Trades Negotiating Committee (representing the UW–Madison Building Trades employees). Enroll in annual benefits by October 20
The Annual Benefits Enrollment period ends this Friday, Oct. 20, at 4:30 p.m. This is the only time you can make changes to certain benefits without having an eligible life event or qualifying employment change during the year. In addition, certain benefits you may be enrolled in require action each year. Employees should choose their 2024 benefits via Self Service in MyUW at my.wisc.edu. New kiosks expand employee access to computers
Twelve computer kiosk locations are now available across campus for employee use. The kiosks provide computer access for all employees with a NetID who do not have access to general computer resources. These kiosks may be used to access MyUW, email, and other computer/internet-based activities related to employees’ job duties. All kiosks have instructions in six languages, and security features are in place to protect employees’ personal information and the work they do. The kiosks are sponsored by the Office of Finance and Administration, with project support from Facilities Planning & Management (FP&M), DoIT, and the Second and Third Shift Issues Committee of University Staff Shared Governance.

LifeMatters and the Employee Assistance Office are offering a virtual webinar, Getting the Most Out of Your Life, on Monday, Oct. 23, noon-1 p.m. via Zoom. This webinar, offered at no cost to UW‒Madison employees, will help participants achieve a simpler, more meaningful life. Benefits enrollment session available online
The Annual Benefits Enrollment period is currently underway and will end at 4:30 p.m. on Friday, Oct. 20, 2023. Employees who need more information in order to make informed decisions about benefits may wish to attend a live, virtual presentation of “Benefits 2024: What You Need to Know” on Thursday, Oct. 12, noon‒1 p.m. via Webex. This one-hour session includes a review of 2024 benefits changes, information on how to enroll, and time for questions and answers. The recorded presentation can be viewed on YouTube. Workday launch revised to July 2025
On October 6, 2023, the University of Wisconsin System Board of Regents approved a revised timeline for the implementation of Workday — the cloud-based system that will streamline and simplify administrative processes — as part of the Administrative Transformation Program (ATP). The Workday launch date, previously scheduled for July 2024, is now July 2025. ATP is a UW System-wide initiative to standardize and simplify how finance, human resources, and research administration tasks get done across all UW System institutions, allowing staff to refocus valuable time on UW’s mission of teaching, research, and public service. Most UW‒Madison employees will not need to take any action until March 2025, when their Workday training will begin.

Partners in Giving campaign: Be Part of Something Bigger
Through UW–Madison’s annual workplace giving campaign, Partners in Giving, employees can donate to the local, national, and international charities of their choice, now through May 14, 2024. Gifts of even $1 per pay period add up to make a positive impact in our local community and around the world. Pledges can be made online by payroll deduction or credit card. A paper pledge form is also available to be emailed or mailed, allowing payroll deduction or check. Requests for payroll deduction must be received by December 31, 2023. Learn more at giving.wi.gov.
